You've decided ServiceTitan isn't the right fit anymore. Maybe the cost is too high. Maybe the contract is expiring and you don't want to renew. Maybe you've realized you're paying for enterprise software when you need a simpler tool. Whatever the reason, switching doesn't have to be painful.
Here's a complete guide to migrating from ServiceTitan to a more affordable platform.
Before You Switch: The Pre-Migration Checklist
1. Know Your Contract Status
Check your ServiceTitan contract for:
- End date — switching mid-contract means paying the remaining balance
- Auto-renewal clause — most contracts auto-renew 30-60 days before expiration
- Cancellation notice period — usually 30-60 days written notice required
If your contract renews in 60 days, act now. Send written cancellation notice via email AND certified mail. Keep copies of everything.
2. Document What You Actually Use
Before you switch, list the ServiceTitan features you actually use daily:
Most companies find they use 20-30% of ServiceTitan's features:
- Scheduling and dispatch
- Estimates and invoicing
- Payment processing
- Customer database
- Pricebook
- Basic reporting
Features like marketing attribution, advanced KPIs, and call tracking are powerful but unused by many smaller operations. Don't pay for features you don't use.
3. Export Your Data
ServiceTitan allows data export, but the process varies. Here's what to export:
Customer Data:
- Go to Settings → Data Management → Export
- Export your Customer list (CSV format)
- Include: name, address, phone, email, property details, equipment
Job History:
- Export completed jobs for the past 2-3 years
- Include: job type, date, technician, description, amount
- This becomes your service history in the new system
Equipment Records:
- Export installed equipment data
- Include: make, model, serial number, install date, location (which customer)
- This is critical for HVAC companies — don't skip it
Pricebook:
- Export your pricebook as CSV
- Include: task name, category, price, description
- If you've customized your pricebook heavily, this is your most valuable data
Financial Data:
- Export invoice history
- Export payment records
- You'll need these for accounting continuity
4. Set Up Your New Platform First
Don't cancel ServiceTitan until your new platform is ready. Here's the setup timeline for ServiceTap:
Day 1-2: Account setup and data import
- Create your account
- Import customer CSV
- Import equipment records
- Import or rebuild your pricebook
Day 3-4: Configuration
- Set up your service area
- Configure your schedule and dispatch board
- Set up payment processing (Stripe Connect)
- Customize your estimate and invoice templates
Day 5-7: Team training
- Walk your techs through the mobile app
- Practice creating estimates and invoices
- Test offline mode
- Do a few ride-alongs with the new system
The Migration: Week by Week
Week 1: Parallel Operation
Run both systems simultaneously. New jobs go into both ServiceTap and ServiceTitan. This catches any data gaps and lets your team get comfortable.
Week 2: Primary Switch
Make ServiceTap your primary system. Only use ServiceTitan as a reference for historical data. All new jobs, estimates, and invoices happen in ServiceTap.
Week 3: Final Cutover
Stop entering data into ServiceTitan entirely. Your techs should be fully working in ServiceTap. Keep ServiceTitan access for historical lookups until your contract ends.
Week 4+: Contract Wind-Down
Once your ServiceTitan contract ends:
- Download a final data export for your records
- Cancel payment method on file
- Confirm cancellation in writing
What About Phone Numbers and Tracking Numbers?
If ServiceTitan manages your tracking phone numbers, you need to port them before canceling. Contact ServiceTitan support and request number portability. This can take 2-4 weeks, so start early.
If you own your phone numbers independently (through a separate provider), this isn't an issue.
Common Migration Concerns
"My team won't want to switch"
Your team doesn't want to switch because they've invested time learning ServiceTitan. That's valid. But simpler software is faster to learn — most techs are comfortable with ServiceTap in 2-3 days because the mobile app is designed for speed, not feature count.
"I'll lose my customer data"
No. You export everything before you switch. Customer names, addresses, phone numbers, equipment records, and job history all transfer via CSV import. Nothing is lost.
"What if the new software doesn't work?"
This is why we recommend a 2-week parallel operation. You discover any gaps while you still have ServiceTitan running. And since ServiceTap has no contract, you can cancel anytime if it's not the right fit.
"ServiceTitan has features my new software doesn't"
Probably true. ServiceTitan has marketing attribution, advanced call tracking, and enterprise reporting. If you use these features daily and they generate measurable ROI, ServiceTitan might be worth the cost.
But if you're paying $3,000/month for features you use once a quarter, that's $36,000/year for a reporting tool.
The Math
| ServiceTitan | ServiceTap | |
|---|---|---|
| Monthly cost (5 techs) | $2,500-4,500 | $129-249 |
| Annual cost | $30,000-54,000 | $1,548-2,988 |
| Contract | 2-3 years | None |
| Setup time | 4-12 weeks | 1 week |
| Implementation fee | $2,000-10,000 | $0 |
Year 1 savings: $27,000-61,000
That's a truck. Or a new tech's salary. Or your first real marketing budget.
